i print out my rehearsal report templates on lined paper at the beginning of a rehearsal week so things are organized, or i fill in the template on my ipad so that i can email it out at the end of rehearsal directly from my ipad as a pdf file to everyone on the production and design staff. these are posted backstage during the run of the show and given to everyone involved in making the transitions happen as all stage managers know, doing line notes for actors once they are off-book is one of the most gueling parts of the job. once dry tech and q2q are completed and dress rehearsals have begun, i take it upon myself to start making a list of all the things that need to be completed as part of pre show and intermission. once a production has opened, in addition to calling the show, it is important for a stage manager to document start and end times and intermission, and anything that happens during the show such as missed cues, broken props, or injuries.

so i can’t actually share it with you, but i can show you the end result, which would be easy to replicate in a word processor. this is a slightly simplified version of the one we used, as you can customize it to whatever other areas of the theatre you may need to set props. so first you need to buy the kind of paper that can be printed on both sides. if you don’t need something so permanent, or for a rehearsal room where you need to be able to remove the numbers cleanly (maybe even every day), printing your own is much cheaper and easier. we decided to customize my standard number line (which is big and ugly for rehearsal purposes) for a gray-on-black version with just the right amount of visibility. if you’re lucky, your show may be intended to have a life after the current production closes, in which case things need to be clearly labeled so they can be pulled out of storage and easily found if the show is remounted.
